BestSchoolPage ("BestSchoolPage") is a cloud-based school management platform operated by Ramor Logistics & Tech Services Ltd, a company incorporated in the Federal Republic of Nigeria. The platform helps Nigerian schools manage students, teachers, attendance, school fees, academic records, results, and school administration. This Privacy Policy explains how we collect, use, store, and protect personal information when schools, parents, teachers, and students use our services.

BestSchoolPage operates as a data processor on behalf of schools, which act as data controllers of the educational records they manage. We process personal data in accordance with the Nigeria Data Protection Act 2023 (NDPA), the General Application and Implementation Directive 2025 (GAID), and other applicable Nigerian laws.

2 Information We Collect

We may collect:

• School information (school name, address, contact details)
• Administrator accounts
• Teacher information
• Student records
• Parent or guardian details
• Attendance records
• Academic results
• School fee records
• Login and device information necessary to operate the platform

We only collect information that schools choose to enter into the system or that is required for providing our services.

3 Lawful Basis for Processing

We process personal data only where we have a valid lawful basis under the NDPA. These bases are:

• Contract Performance: Processing necessary to provide the platform and services to schools and their authorised users.
• Legal Obligation: Processing necessary to comply with Nigerian education record-keeping, tax, and other applicable statutory requirements.
• Legitimate Interests: Processing necessary to secure the platform, prevent fraud, improve our services, and ensure system integrity, where these interests are not overridden by the rights and freedoms of data subjects.
• Consent: Where required by applicable law, we will obtain explicit consent before processing. Consent may be withdrawn at any time without affecting the lawfulness of processing carried out before withdrawal.

4 How We Use Your Information

We use personal information to:

• Provide school management services
• Generate report cards and academic records
• Process school fee records
• Manage attendance
• Support parent access
• Improve platform security
• Provide customer support
• Comply with applicable legal obligations

We do not sell student or school data.

5 Data Ownership

Schools remain the owners of their institutional data. BestSchoolPage acts as the technology platform that securely stores and processes information on behalf of the school. As the data controller, the school determines the purposes and means of processing student and institutional data. BestSchoolPage processes such data strictly on the school's documented instructions.

6 Data Security

We use appropriate technical and organisational measures to protect data from unauthorised access, loss, alteration and misuse. These measures include encryption, access controls, and regular security reviews. While no internet service is completely secure, we continually work to improve the security of our platform.

In the event of a personal data breach, we will notify the Nigeria Data Protection Commission (NDPC) within 72 hours where required, and will notify affected data subjects without undue delay where the breach poses a high risk to their rights and freedoms.

7 Data Retention

School records remain available while a school maintains an active account. Upon account termination, data will be retained for such period as is necessary for backup, legal compliance, or dispute resolution, after which it will be securely deleted.

8 International Data Transfers

Our servers may be located within or outside Nigeria. Where personal data is transferred outside Nigeria, we ensure that such transfers comply with Section 43 of the NDPA and the GAID. We will only transfer personal data to a foreign jurisdiction where:

• The recipient country has been assessed by the NDPC as providing an adequate level of data protection; or
• Appropriate safeguards are in place, including NDPC-approved Standard Contractual Clauses, Binding Corporate Rules, or other approved Cross-Border Data Transfer Instruments; or
• A statutory exemption under the NDPA applies.

Where required, we will conduct a Data Protection Impact Assessment (DPIA) before commencing any cross-border transfer.

9 Cookies

BestSchoolPage uses cookies and similar technologies to:

• Keep users logged in
• Remember session preferences
• Improve website performance
• Measure anonymous usage statistics

Users may disable cookies in their browser, although some features of the platform may not function properly.

10 Third-Party Services

We may use third-party service providers for hosting, payment processing, email delivery and analytics. These providers are contractually bound to process data solely on our instructions and in compliance with the NDPA. We do not authorise any third-party provider to use personal data for their own purposes.

11 Children's Data

Schools are the controllers of student data. We process student data strictly on the school's instructions. We do not use student data for targeted advertising or commercial profiling. Schools and parents must ensure appropriate consent is obtained before registering minors on the platform, as required by applicable law.

12 Your Rights

Under the NDPA, data subjects have the right to:

• Access their personal data
• Request correction of inaccurate data
• Request deletion of data, subject to legal retention requirements
• Object to processing based on legitimate interests
• Withdraw consent where processing is based on consent
• Lodge a complaint with the NDPC

Schools may request correction of inaccurate information under their control. Parents and students should direct privacy requests to their respective school, as the school is responsible for the educational records it manages.

If you believe our processing of your personal data violates the NDPA, you have the right to lodge a complaint with the Nigeria Data Protection Commission (NDPC) at www.ndpc.gov.ng.

13 Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices or legal requirements. Material changes will be communicated via the platform or email. Continued use of the service after such notification constitutes acceptance of the updated policy.
